Terms & Conditions

 

Conditions of Entry

  1. Accompanists.

    1. Competitors must provide their own accompanists.
    2. No official accompanists are available at any venue.
  2. Adjudicators.

    1. The Adjudicator must not be addressed during the eisteddfod except via an eisteddfod official. All inquiries or requests are to be made to the convenor.
    2. The Adjudicator’s decision is final.
    3. No prize will be awarded without sufficient merit. Adjudicators have the right to withhold or divide prizes according to merit.
  3. Age.

    1. Competitor’s age is the age the competitor becomes during the current calendar year.
  4. Amateurs.

    1. COMPETITORS MUST BE AMATEURS (ones whose main source of income is not derived from the exercise of his/her talent), and must compete in their correct age sections. (not applicable to accompanists / conductors).
  5. Committee

    1. The Eisteddfod Committee reserves the right to:
      1. appoint a substitute or additional adjudicator;
      2. to ask for proof of age.
      3. cancel any entry and refund fees.
      4. cancel any section should there be insufficient entries. All entrants affected will be notified after the closing date.
      5. alter or amend the program in any way and at any time. e.g. Items may be split or combined if warranted.
      6. alter the competition times if necessary;
    2. The decision of the Eisteddfod Committee in all questions and disputes shall be final.
    3. Every care will be taken for the competitors’ safety, but the Eisteddfod Committee will not be responsible for any injury sustained by a competitor during the Eisteddfod. All Eisteddfod participants do so at their own risk.
    4. All queries related to the conditions of the competition must be addressed to a member of the Eisteddfod Committee.
  6. Competitors.

    1. All sections will run in Program order.
    2. All competitors will be numbered and their order of appearance will be in the official program. Competitors must be ready to appear as soon as their number is called.
    3. No competitor may enter or compete under any name other than his/her own name.
    4. COMPETITORS MUST PERFORM FROM ORIGINAL MUSIC. ie. Not photocopies (If music is unavailable competitors MUST check with the appropriate convenor for any alteration to this rule).
    5. If a competitor in a duet, trio, etc. is unable to perform due to unforeseen circumstances he/she may be replaced provided the appropriate convenor has been notified prior to the item.
    6. No competitor may perform the same material more than once during the Eisteddfod.
    7. Competitors may perform only ONCE in a duet item, trio/quartet item and small ensemble item.  Eg. A 13 year old string student can perform in either 13 years & under duet or 15 years & under duet or 18 years & under but must choose only one.  
    8. In small and large instrumental and vocal ensembles, competitors may perform only ONCE. When representing their school and a community ensemble, the competitor may perform in both.
    9. If a competitor is competing in the other hall or their accompanist is in the other hall when it is their turn to perform, that competitor must notify the compere and the compere will change their order.
    10. If a solo and an ensemble performance are programmed against each other,performance in the ensemble section takes precedence. The solo section will remain open until the competitor has performed with their ensemble, provided the compere has been notified.
  7. Copyright

    1. The Eisteddfod Association supports copyright laws and includes the appropriate AMCOS forms on our website, but is in no way responsible for personal breach of copyright.
    2. Competitors are legally responsible for abiding by all Copyright laws, including laws relating to arranging, photocopying and the use of recorded music.     3. The making of audio and/or video recordings of performances, including mobile phone recordings, is prohibited.
    4. Copyright Declaration Form must be completed for each entry. Editable PDF file must be emailed to convenors details on Own Choice Music Labels. If you are entering different sections e.g. Piano and Strings you must complete a form for each section.
    5. All own choice material for the adjudicator MUST be photocopies. These photocopies will become the property of the Eisteddfod Association and will be destroyed after the completion of the section.
    6. Own Choice Copy for the Adjudicator must be clearly marked with the required identification form filled in online and printed which is to be attached to your copy and posted to convenor’s address by Thursday 13 June 2019
    7. Own choice material (content and presentation) must be suitable to be performed at an Eisteddfod. Careful consideration should be given to the use of language that could be offensive.
  8. Protests

    1. No protest against an awarded adjudication will be permitted unless it is proved that some error in identity has happened.
    2. Protests must be made in writing and lodged with the appropriate convenor immediately after occurring and before adjudication, and accompanied by a fee of $20.00 to be forfeited if the protest is deemed frivolous. The Committee’s decision will be considered final.
    3. Written complaints other than adjudication are to be lodged with the Committee within 30 days of the completion of the Eisteddfod.
  9. Recorded Backing Music

    1. Backing tracks accompaniment are only permitted in some vocal items please see vocal schedule.
    2. The competitor is responsible for providing a person to operate the audio system.
    3. The Eisteddfod Association will not be responsible for these backings and any left uncollected by the end of that Section of the Eisteddfod will be destroyed.
    4. Competitors must ensure that their backings can be played through an audio system
  10. Registrations (Entries)

    1. All registrations and payment must be made online through Eisteddfod website. www.scje.org.au
    2. Registration fees, must be paid by midnight on the Registration Closing Date.
    3. Names will appear in the Program as they were entered into online entry form by the competitor.
    4. Any questions appearing in a field (e.g. requesting gender, instrument, grade, year level) must be accurately answered.
    5. Unless otherwise specified, competitors in Solo, Duet, Trio or Quartet Sections may only compete once in any Item.
    6. For groups of three or more competitors, an ensemble name is required.
    7. There will be no additions to the printed program unless the omission is that of the Eisteddfod Association.
    8. Acceptance of an entry by the Eisteddfod Association is conditional upon the competitor agreeing that their name may be published in the Eisteddfod Program, and in results in the media and on the Eisteddfod website.
    9. The Eisteddfod Association reserves the right to refuse any entry.
  11. Reports

    1. An adjudication sheet of each performance will be available free of charge for collection following the adjudication of each item at the appropriate venue door.
    2. Any reports uncollected by the end of each section of the Eisteddfod will be destroyed.
  12. Time Limits

    1. Time limits must be observed. An item may be shorter than the limit but NOT exceed it. A penalty will be incurred.
    2. One piece only to be performed per item unless confirmed in schedule. e.g. Championships, Large Ensembles.
  13. Withdrawals

    1. Competitors who do not intend to compete in an item for which they have entered, must notify the appropriate convenor before the time appointed for that particular item. Notification of withdrawal is regarded as courtesy to the Committee, fellow competitors, Adjudicators and patrons.
  14. General

    1. Due to Child Protection and Privacy Laws still and video photography including with mobile phone is PROHIBITED during the Eisteddfod.
    2. No competitor may rehearse on the stage in any venue before the session commences.
    3. No teacher will be allowed on stage with a competitor for any item except as an accompanist or conductor.

Programs cost $6.00. If posted an additional fee of $3.00 each will be required.

The date the program is available will be announced on our website.

 


Large Ensembles Added Conditions

  • Please read Conditions of Entry before submitting your entry.
  • A maximum of three pieces is allowed.
  • OWN CHOICE MUSIC COPY FOR LARGE ENSEMBLES (not originals) and complete ensemble set up form must reach the convenor by 13th June, 2019. Please attach completed OWN CHOICE MUSIC COPY labels.
  • Entry fee for ensembles includes the conductor and two passes for staff. Other supervising staff are required to purchase a ticket.
  • Cash prizes will be awarded.
  • Individuals may only appear ONCE in each item, unless TWICE when representing their school and a community ensemble.
  • Primary age is up to and including year 6. Secondary age is years 7 – 12.
  • A detailed timetable will be sent to each competitor.
  • The ensemble director must be present at all times in the warm-up area.
  • All band or orchestra ensembles MUST provide a stage crew for setting up.
  • No vocals allowed in Stage Bands.
  • Music stands, percussion equipment and amplifiers are supplied for bands and orchestras to use during performances.
  • Auxiliary percussion, mallets and stools are not supplied.
  • No changes of choristers within an item permitted.
  • Movement is permitted in choir items; however, the ensemble must stay in choir formation. (For clarification, please contact the vocal convenor)
  • Choirs may have ONLY piano accompaniment or be unaccompanied.
  • With exception of the Junior Primary Choir own choice must be part singing.
  • Priority is given to Sunshine Coast Schools and Community groups from Caboolture to Gympie. Ensembles outside this area who are interested please contact convenor.
